Agencies are always looking for new professional agents who can increase their revenues and offer exceptional client service. Understanding how to write an effective agent cover letter can show employers that you are up to the task and have the right skills to handle the job.

Cover letters are usually among the first few items that your potential employer reads from you. Your cover letter should immediately indicate the position you are applying for and then provide basic information that correctly highlights why you should be considered for the position.

You must not repeat all the information contained in your resume. Instead, you should only highlight some of the key items that are directly applicable to the position you are applying to. You should begin your agent cover letter with your contact information. This should be in block style and should be on your paper’s left margin, towards the top. It should include:

Date

Just like any other business letter, make sure to include the date of writing the letter.

Recipients Name, Title, And Address

If you know the name of your employer, make sure to address the letter to them. Don’t just use the typical “Dear Sir/Madam” for the recipient to see that you have put in some effort to know the company and the position you are applying for; make sure to include the recipient’s name. You can even contact the company to provide you with all the details you need to write an effective cover letter.

Salutation

Choose the best and the most appropriate way to address the contact person. For instance:

  • Dear Mr. Paul
  • Dear Ms. Jane

If you fail to obtain the employer’s name, you can use the standard “Dear Prospective Employer.”

Opening Paragraph

In your opening paragraph, tell the employer how you learned about the position. You can, for instance, indicate that you learned about the position through:

  • A classified advertisement
  • The Internet
  • Personal referrals

Middle Paragraph

This paragraph summarizes your background and any critical skills that make you qualified for the position you are applying for.

Contact Information And Closing

At the end of your letter, talk about your availability for the position, where you can be contacted, and when you would like to contact the hiring manager for an appointment to discuss your application. If you have no contact person, you can simply indicate your anticipation for a response in this part of the letter. Thank the hiring manager for their time to consider your application.

Other Considerations:

Paper and Printing

  • Use ivory or white bond paper printed paper on one side only
  • Use the same paper for resume, cover letter, and envelopes if possible
  • Make sure that there is are no dirty marks or shadowing from your printer on the papers

Error Prevention

  • Follow the instructions indicated in your employment ads or recruitment directions
  • Proofread your work. Check for spelling and formatting errors. Make sure that the recipient’s name, company name, and title are all spelled correctly in the letter and on the envelope
  • Ask your friend or colleague to read and help you proofread the letter for you to make sure that it is free or any errors
  • Sign the letter in either blue or black ink
  • Keep a copy of the cover letter and resume for your records
  • After sending the letter, follow up with a phone call about five days after the expected delivery date

  • Follow the standard cover letter format
  • Set the margins at 1 ½.”

  • Use the correct grammar
  • Organize context in a logical and reasonable manner
  • Punctuate using commas, dashes, and periods

Content

  • Focus on the requirements that have been described in the job description
  • Tell how your skills and personal qualities match the employer’s needs
  • Focus on what you can do for the employer and how you contribute to the organization
  • Show that you have researched about the organization and make sure to double-check those facts
  • Be specific and avoid any general statements

  • Ensure that you adequately explain why you believe that you are a great fit for the position you are applying for. State why you are thrilled about the job and the company, and how the job matches your career goals.
