A Paystub template guides its users when making Paystubs to ensure that they are consistent, accurate, and professional. Key Components of a Paystub Template

For a Paystub template to be effective, it has to have the components below:

Header information

This is the first section of the Paystub template. The header section is where an employer includes important information like the employee ID, issue date, check number, business unit, pay group, and the start and end dates of the pay period.

On the template, start by entering the employeeโ€™s company details. Accuracy is important in this section to make the Paystub unique to an individual.ย 

Employee information

After the header information, the next part is the employee information where an employer writes the employeeโ€™s name, address, department or organization, the tax type i.e. federal, state, or local, filing status, and any allowances or additional amounts concerning taxes.

On this section of the template, you are required to enter an employeeโ€™s personal details for identification purposes. Remember, the address required is the employeeโ€™s residential address and not the companyโ€™s address.

Pay description

The pay description section should include the various types of pay i.e. regular pay, overtime, holiday pay, vacation, and bonuses. There are also columns for the current rate, hours worked, and amounts earned, as well as year-to-date (beginning of the year to the current date) or YTD totals for each category.

This is also an important part of the Paystub template. It allows employees to cross-check whether the numbers in this section are accurate. Indicate all payments made to an employee on top of regular salary.

EXAMPLE

Overtime (according to hours), any bonuses received, etc. Also, include the YTD to show the specific time frame for these payments.

Regular Pay: $300/hour ร— 80 hours = $2,400
Overtime: $25/hour ร— 6 hours = $150
Bonus: $250
Pay period begin: January 1, 2024
Pay period end: January 1, 2025

Tax deductions

The tax deductions section contains taxes such as federal withholding tax, social security, medical care, and state taxes, with both current and Year-to-Date amounts clearly shown. Enter the deductions on the template.

EXAMPLE

Federal Tax: $120
Social Security: $95 (6.2% of gross pay)
Medicare: $35 (1.45% of gross pay)
Health Insurance: $100

This breakdown helps employees see where their deductions are going.

Before and after tax deductions

In addition to the tax deductions section, there is a before and after tax deductions section that shows the net pay, i.e., the gross pay and the net pay. The gross is the amount before deductions while the net is the take home after deductions have been made.

This is probably the part where an employee will check. On the template, you could write this section in bold to make it stand out so that it can be easily found.

EXAMPLE

Gross Pay: $2,400 (Regular) + $150 (Overtime) + $250 (Bonus) = $2,800
Total Deductions: $350
Net Pay: $2,800 – $350 = $2,450

Total section

The total section is a summary that includes the employee’s total gross pay, taxable pay, taxes, deductions, and net pay for both the current pay period and year-to-date. This section gives an employee an overview of their financials for budgeting and filing purposes. Include the taxes, gross pay, taxes, and net pay for the Year-to-End. 

EXAMPLE

YTD Gross Pay: $33,600
YTD Taxes: $4,200
YTD Deductions: $4,200
YTD Net Pay: $29,400

Balances section

After calculating the totals the balance section of the template follows where leave balances i.e. vacation, sick leave, and Family and Medical Leave Act (A law that allows eligible employees to take unpaid leave from work for family and medical reasons.) are calculated. These calculations indicate earned, spent, adjustments, and any remaining amounts.

On this section of the template, indicate the time taken off from work by an employee. This will help them manage their leave effectively to avoid over or under use.

EXAMPLE

Vacation: Earned 10 days, Used 5 days, Remaining 12 days
Sick Leave: Earned 14 days, Used 3 days, Remaining 10 days

Net pay distribution

After all the balances are taken care of, the net pay distribution section follows where the distribution of an employeeโ€™s net pay is explained. For example, net pay distribution can be done through direct deposits, listing account types, account numbers, and deposit amounts. On the template, describe how the take home salary was delivered.
